An approval step can feel like an interruption when it arrives without context. It can also be the moment a workflow becomes understandable. The difference is what a person can see and decide at that point.

Show the action, not just the button

A useful review explains what is about to happen, where it will happen, and which information shaped the draft. The person reviewing should be able to inspect the outcome without reconstructing the entire conversation.

Keep the choices specific. ‘Share this briefing with the project team’ communicates more than ‘Continue.’ Give a person a clear way to revise, decline, or ask for more context.

Place review where it matters

Different actions deserve different levels of attention. Preparing a private summary and sending a message to a customer have different consequences. A workflow can acknowledge that difference without asking for approval after every small step.

Record the decision

Make it clear whether an action was approved, changed, or stopped. A readable trail helps people understand the outcome later and gives the team a better basis for improving the process.

The goal is an experience where assistance and responsibility fit together. Thoughtful review gives a person useful control at the moment their judgment changes the result.
